Key Responsibilities:

  • Diary management, inbox management,  expense submissions; Organising diaries, meetings, travel and itineraries so as to make the best use of leaders’ time and meet their requirements and priorities.  Support for 2-5 Senior Leaders.

  • Screening, prioritising and annotating incoming information and communications (telephone, electronic, paper); responding, re-directing or referring to the appropriate leader. 

  • Handling sensitive and/or confidential information and/or documentation with appropriate discretion and regard for the data protection regulations of associated paperwork and electronic files. 

  • Maintaining action logs, initiating and/or progressing own and other actions as necessary to ensure timely and appropriate activity.  

  • Providing technical support to audio/video conference meetings, including the setup of related facilities and equipment.

  • Proactively carrying out agreed operational activities so as to minimise the volume of routine activity, enabling Leaders to focus on key issues.

  • Operational activities; booking meeting Rooms, organising carparking, delivery of items and receiving goods, stationary order and inventory of stock.

  • Mobile Phone Contracts: Supplier relationship manager, coordinate all the issues connected to fixed and mobile telephony; monitor smart phone stock, device configuration,  Work with Head of Indirect Procurement to improve service and managing local suppliers as required.

  • Invoice process and maintenance: Submit relevant invoices and to the Invoice processor with correct information to be raised for payment. DAF provided for approval of low-level Office Management invoices only.

  • Support for local IT to ensure there is a focal point for supplies and orders.

  • New Starter and Leavers Process: Coordinate new starters and leavers process onsite working with HR, OM, and the Hiring Manager. Follow the New starter and Leaver’s process ensuring relevant activity is undertaken to complete the process correctly.

  • Greeting customers or clients. Arrange dinners and lunches onsite or offsite.Collaborate on local or EU-wide events for example annual cocktails, team buildings, shining stars with event host and organiser, social committee etc. 

  • Preparing correspondence, reports, spreadsheets, briefing papers, and presentations for meetings/conferences, creatively formatting and presenting information when necessary.

  • Onsite Presence: It is the responsibility of the Office Managers to make sure they are available and flexible to be onsite 5 days a week if needed e.g. emergency response, reception, onsite changes or Leader’s business need.

  • Health and Safety & Business Continuity management (BCM): working with HR and wider BCM team to implement and maintain Physical Security, Health & Safety on site including Office Risk Prevention, Business Recovery Plan Coordination and updating as part of Business Continuity Planning and Shadow Planner update.

  • Maintenance: Organise and maintain testing and Inspection along with guidance from Landlord in relevant location to ensure building adheres to regular inspection and testing.

  • Commercial Property Management, supporting indirect procurement with renewal of contracts, refurbishments, office moves, space management.

  • Supporting HR, with home-working, providing equipment at home such as Monitor’s, Keyboards, Mice, Table and Chairs.
